START WHERE YOUR JOB STARTS

Choose a role. Follow only the proof that matters first.

Everyone can complete the full guide. Your role path puts the most important checks first so a new teammate can reach useful work without reading everything.

YOUR FIRST MISSION

45–60 min

Build the rules before you invite the team.

Set ownership, prove the launch path, and make the pipeline definitions clear enough that two people would move the same deal the same way.

Proof of readiness
AOS is safe for live users and the manager has one weekly operating rhythm.

01

THE OPERATING RULE

AOS owns the relationship. Your order platform owns the job.

Keep contacts, conversations, sales follow-up, and relationship status in AOS CRM. Keep orders, appointments, invoices, media, and delivery in Aryeo, HDPhotoHub, Tonomo, or Spiro.

THE 60-MINUTE SETUP

Go in order. Prove each layer before the next.

Use test records you control. Never use a real prospect for the first workflow or integration test.

015 min

Sign in and check your profile

Confirm the right account, location, time zone, and notifications.

Exact click pathapp.aoscrm.com → Settings → My Profile → General
Open AOS CRM

DO THIS IN ORDER

  1. 1

Open app.aoscrm.com and sign in with the exact email address that received the invitation.

  2. 2

Check the workspace name in the upper-left corner. Switch locations before continuing if it is not your agency.

  3. 3

Choose Settings in the lower-left menu, then choose My Profile.

  4. 4

Confirm your name, phone number, time zone, and notification preferences. Select Update Profile if you changed anything.

YOU ARE DONE WHEN

  • Your agency name appears in the workspace switcher.
  • Your profile time zone matches the time zone used for customer appointments.
  • You can return to the main dashboard without an invitation or permission error.
Something does not match?
  • Invitation missing: check spam and quarantine, then request one resend. Do not create a second user.
  • Wrong workspace: use the workspace switcher in the upper-left corner.
  • Wrong time zone: fix it before creating appointments, tasks, or workflows.

THE ACRE REVENUE LAYER

Your CRM is a relationship operating system—not a contact database.

After the technical launch checks pass, use AOS to protect your best clients, coach high-potential agents, and surface referrals and brokerage opportunities.

01

PRIORITIZE THE BOOK

Use evidence—not assumptions

Give every relationship a service level.

Tier clients from verified order history, production, growth trajectory, fit, and introduction potential. A tier controls your review cadence; it does not replace a dated next action.

A

Top producer / strategic account

Protect the relationship, surface upcoming listings, and bring proactive recommendations.

Review every 7 days
B

Growth agent / repeat potential

Coach toward stronger packages, consistent marketing, and a clear next milestone.

Review every 14 days
C

Past client / nurture

Stay relevant with useful follow-up instead of generic check-in messages.

Review every 30 days
P

Broker, owner, or team leader

Track the organization-level opportunity separately from individual agent relationships.

Partnership motion
02

CAPTURE THE CONTEXT

Store what makes the next conversation useful.

Add Account Priority, Production Band, Brokerage, Role, Growth Goal, AOV Band, Referral Potential, Last Care Call, and Next Action Date.

03

CONSULT ON OUTCOMES

Lead with the agent's business—not your product menu.

Ask what they want to win, where their marketing breaks down, and which listings need a different strategy. Record the insight and recommendation.

04

EARN THE INTRODUCTION

Turn care calls into referrals and partnerships.

Create a care-call task after value is delivered. Ask for a specific introduction only when you have earned it, then record the referrer.

05

SEPARATE THE MOTIONS

Keep agent acquisition and brokerage deals distinct.

Use New Business Sales for agent relationships. Use a Brokerage Partnerships pipeline for Target, Introduction, Discovery, Needs Mapped, Proposal / Pilot, then the platform's Won or Lost status.

AFTER SETUP · PUT AOS TO WORK

Six missions. Real clients. Visible proof.

Complete this execution layer with live relationship work. Your progress saves on this device, so the Friday review can inspect outcomes instead of course completion.

THE FRIDAY REVENUE REVIEW

No open deal leaves the meeting without an owner, next action, and date.

  • Deals without a next action
  • Upcoming orders reviewed
  • Orders upgraded and added revenue
  • Care calls completed
  • Referrals requested and received
  • Brokerage introductions
  • Power-partner introductions
  • Average order value trend

Use AOS for relationship activity and pipeline accountability. Use the order platform as the source of truth for jobs, delivery, invoices, and transaction value.

FIELD CHECK · 3 QUESTIONS

Prove the operating rules before touching a live prospect.

Strong onboarding tests judgment, not memory. Choose the action you would take inside AOS, then review the operating reason behind the answer.

PASS STANDARD3 / 3Retake immediately if any answer misses.
01An agent books three photo shoots. How many open sales opportunities should represent that relationship?
02What makes an open deal review-ready?
03A team leader may introduce 25 agents. Where should that opportunity live?

GROUNDED HELP, NOT GUESSWORK

Ask the AOS Setup Assistant.

It searches the approved onboarding knowledge base and returns the matching checklist plus official documentation. If the answer is not in the knowledge base, it says so.

AOS SETUP ASSISTANT

“One customer relationship equals one sales opportunity. Individual photo shoots stay in your order platform.”

THE AOS FIELD KIT

Do not make every new teammate invent the operating system again.

Download the definitions, scripts, and review sheets that turn training into repeatable behavior. Adapt the language, but keep the ownership and proof rules.

01

Prove the foundation

Complete all six launch checks with test data before inviting the team.

02

Build daily usage

Require every active opportunity to have an owner, next action, and date.

03

Protect and grow the book

Tier relationships, run care calls, and coach consultations around business outcomes.

04

Scale what works

Review conversion, referrals, brokerage introductions, and average order value.

ORDER PLATFORM CONNECTIONS

Choose one source of truth, then connect it once.

Start with a one-way flow into AOS CRM. Add two-way updates only after field ownership, duplicate rules, and recovery steps are documented.

01Best self-service path

Aryeo

Aryeo → Zapier → LeadConnector

Start with Customer Created. Add Order Created only for the first-order milestone.

03Starter plan or above

Tonomo

Tonomo webhook → Zapier → LeadConnector

Use booking-created or order-status events and test realistic customer data.

04Start with New Client

Spiro

Spiro webhook → Zapier → LeadConnector

Use later listing or invoice events only when they drive a defined customer action.

DEFINITION OF READY

Do not call it live until the proof passes.
